Facilities Coordinator
Job Title: Facilities Coordinator
Department: Operations
Reports To: Timm Elrod

Job Summary:
Coordinate and maintain all aspects of the SHE (Safety, Health, and Environmental) initiatives and facilities management for Garland office as well as providing administrative support for COO.
SHE responsibilities:
Responsibilities include, but are not limited to:
Act as Safety, Health and Environmental coordinator for the Garland Facility.
Conduct monthly meetings with the Safety Wellness and Training Team.
Maintain monthly log of all Safety classes in the facility.
Schedule and prepare meeting materials for S.W.A.T. meetings and training classes.
Update and maintain safety and MSDS manuals.
Prepare and send monthly safety and environmental tableaus (RIO 10 and RIO 12).
Review SHE communications and incident reports with appropriate personnel.
Participate in monthly ENTSHE and SHE conference calls with corporate staff.
Coordinate CPR, First Aid, Emergency Preparedness and Fire safety training, as well as quarterly tornado and fire drills.
Communicate SHE issues to the SWAT team and to Garland facility.
Facilities Management Responsibilities:
Coordinate repairs to facility including but not limited to warehouse and executive area.
Manage corporate filing system and archives.
Manage vendors & maintenance for entire office.
Manage archives and retention program.
Order standard branded items such as name tags, business cards, letterhead and envelopes for the Garland facility.
Administrative responsibilities:
Responsibilities include, but are not limited to:
Prepare departmental reports, calendar maintenance, scheduling meetings and conference rooms, processing expense reports and travel arrangements for COO.
Provide support on corporate projects, meetings and activities.
Plan business lunches and events and assist corporate visitors.
Process departmental invoices for vendors such as coding, requesting W-9 and Supplier Set-up form.
Requirements:
2-4 years experience in administrative office of facilities management.
Excellent verbal and written communication skills
Advanced computer skills including Word, Excel, Outlook, and Powerpoint.
Strong interpersonal skills and ability to work effectively with peers, managers, executives and other L’Oreal partners.
Must have excellent analytical skills and attention to detail.
